An ERP system to help streamline processes and information flow

The discussion on the need for an ERP system began in Black Moda as early as 2018. Black Moda Oy was growing well and the growth was clearly reflected in the operations and needs of Black Moda Portugal, which runs production. The next step in our corporate strategy in controlled growth was to streamline processes and information flow, and the new centralization of information in the ERP system became topical.

A major help in the project was Innoman, an expert company specializing in the development of business, processes and operating methods, which CEO Venla Berg took over the project and its smooth running. Cooperation with Innoman began in early 2019. The project was launched by mapping the processes and information systems of the Finnish and Portuguese offices. The mapping work involved working groups consisting of employees from different functions, so they knew best what each work step or process involved.

The survey clearly shows that there were differences between the offices, both in terms of working methods and in the utilization of the systems. The project clarified the idea that an ERP system is in great need and can be used not only by both organizations but also by our production customers.

The mapping result will be decided by a similar update to Black Moda Oy’s billing program and the appropriate Netvisor. At the same time, Jakamo, which operates as a cloud service and covers most of its own factory with other services, must be justified in processing purchase orders. It is appropriate for Jakamo to indicate the instructions for purchase orders, which include various users and also the necessary discussion representatives related to the order, which are held on Jakamo’s platform.

Alternatives to production ERP systems were first mapped in Finland. However, it was soon noted that at the same time it was worth exploring the Portuguese supply. We believed that there may be better solutions for the textile industry in Portugal because there is more to the textile industry there. The mapping work in Portugal was given to Mónica Silva, who works in the sales department of Black Moda Portugal, and Rui Silva, warehouse manager. They met Portuguese software developers and got acquainted with their demos. In support of the comparisons, they also visited Finnish software houses in June 2019 to get acquainted with their offer. Subsequently, enough information had been collected on the various programs and it was time to examine their suitability for the needs of Black Moda Portugal and the textile and clothing sector.

After comparisons and analyzes, both Black Moda Oy and Black Moda Portugal and their working groups stated that the Portuguese PROTextil best meets the needs of companies. Price was also a decisive factor in the decision. After the software delivery agreement was reviewed and signed, Black Moda Portugal started a weekly software implementation training – first with a theory focus, followed by a practical approach.

Currently, Black Moda Portugal enters into the PROTextil database the information and values ​​it needs to function and make the most of the power of the software in everyday work. Black Moda Portugal is working hard to make the program fully operational by April 2021 for the benefit of the entire company.

In addition to production operations, PROTextil streamlines inventory tracking and makes it easier to make more accurate demand calculations for knitwear, accessories and production throughput. Thanks to more accurate material calculations, the amount of waste can also be reduced.
